Triage a new sales lead

Where

Super-admin → Sales Leads → click a new lead

Standard workflow

  • Read the lead — note the organization, role, library size, timeline
  • Click Reply by email — pre-fills a draft addressed to them
  • Status → "Contacted" — auto-stamps contacted_at
  • After they reply, decide: Qualified (good fit) or Lost (not a fit)
  • If Qualified, schedule a call
  • After the call, mark Won or Lost based on the outcome

Tools

  • Reply by email — opens your email client with their address prefilled
  • Call (if phone number provided) — tel: link
  • Open website — visits their organization site for context
  • Internal notes — track what was discussed

Time targets

  • Reply within 1 business day
  • Qualify within 1 week
  • Close (Won or Lost) within 1 month

After Won

  • They sign up (or you create their library manually)
  • Link the lead to the new library row
  • The Sales Leads board now shows "Converted to {Library Name}"

After Lost

  • Note the reason in internal notes (price, timing, going with competitor, etc.)
  • Useful for understanding why deals don't close
