Send a patron a notification
One-off email vs templated emails.
Send a one-off email to a patron from the back office.
Where
Patrons → find them → Send Email
What you can send
- Subject and message (free text)
- Optional: attach a file (PDF, image)
- From: your library's sender address (or your personal email if configured)
When to use it vs templates
- One-off message: "Your hold ready" (already automated, but you can also send manually)
- Custom note: "Just wanted to let you know we got the book you requested"
- Reminder: "Please return Y by Friday"
For repeatable messages, use Email Templates (Settings → Email Templates → New).
Bulk send
Patrons → select multiple → Send Email. Same UI but one email to many. Useful for:
- Announcing a new collection
- Reminding overdue patrons (en masse)
- Inviting to a book club
Tracking
Sent emails appear in Settings → Email Log so you can see who got what.
Patron preference
Patrons who have opted out of email notifications (Portal → Notifications → off) will NOT receive bulk emails. One-off messages to a specific patron still go through.
