Roles: admin, librarian, member, super_admin
Who can do what, plus the per-feature access matrix.
Shelfwise has four roles. Each has different capabilities.
Super_admin
The platform owner — you, if you're managing multiple libraries. Super_admins can:
- See and manage every library on the platform
- Create new libraries manually
- Edit library settings (subdomain, plan, etc.)
- View sales leads
- Override access matrix settings
Super_admins exist outside any single library. They sign in at tryshelfwise.com/super-admin or admin.tryshelfwise.com.
Admin
The owner of a single library. Admins can do everything within their library:
- All circulation operations
- Add, edit, and remove books, copies, patrons, and families
- Change library settings (branding, loan policies, email templates)
- Manage billing (add payment method, change plan, view invoices)
- Invite and remove librarians
- View analytics
A library can have multiple admins. Admins cannot see other libraries.
Librarian
Day-to-day library operations:
- Check books in and out
- Manage holds and waitlists
- Add and edit patrons
- Edit catalogue entries (add books, edit metadata, manage copies)
- Run the kiosk and self-checkout
Librarians cannot:
- Change library settings or branding
- Manage billing
- Invite or remove other users
Member (patron)
Library patrons. They can:
- Browse the catalogue
- Place holds
- Save books (bookmarks)
- Renew their loans
- Manage their family
- Update their account info
Members have no back-office access.
Customizing per-feature access
The access matrix (Settings → Access — super_admin only) lets you toggle individual features on or off for admins and librarians. For example, you might let librarians at one tenant see analytics but not at another.
