Loan and hold notification emails

To patrons

  • New account: invitation magic link
  • Hold placed (confirmation)
  • Hold ready for pickup
  • Hold expiring soon
  • Hold expired
  • Loan checked out (confirmation, if configured)
  • Loan due in 3/1 days, day of, 3/7/14 days overdue
  • Loan renewed
  • Loan returned (if configured)
  • Lost book notification

To admins/librarians

  • New patron signup
  • Patron account flagged (F grade)
  • New patron request (book suggestion)
  • Trial ending tomorrow / Trial ended
  • Subscription payment failed
  • Subscription cancelled by patron

Email configuration

Settings → Email Templates:

  • Edit the template content
  • Variable substitution (patron name, book title, due date)
  • Test by sending to yourself
  • Toggle individual emails on/off

Sender domain

Default: hello@tryshelfwise.com. Custom domain: set up your own (see "Email deliverability").

Bounce handling

If an email bounces, the patron is flagged in the system. The librarian sees a "Email bouncing" indicator next to their name in the patron list.

Patron opt-out

Patrons can opt out of any notification from Portal → Notifications. They'll see a list of every email type with on/off toggles.

Email log

Settings → Email Log shows every email sent in the last 30 days with status (sent, opened, clicked, bounced). Useful for verifying that an email went out.
